# Prepare a useful meeting brief

## Try asking

> Prepare me for tomorrow's customer meetings: attendees, agenda, open questions, and links to the material.

## What this needs

Calendar/account, time window, local time zone, and which meetings or customers matter.

## Use the connected app

Use `apex_search_tools` for `google_calendar` and the requested task. Resolve the account/workspace offered by discovery; stop if it is unavailable or ambiguous. Discover the current official operations with `google_calendar_search_tools` through `apex_call_read_tool`. The operation names below were checked against the live provider catalog; inspect their current schemas before each new kind of call.

Invoke the chosen remote operation with `google_calendar_call_tool`, using its `remote_tool_name` and `arguments`, through the public wrapper returned by discovery. The gateway classifies this general invocation proxy as a write; do not bypass that route or use separate CLI credentials for a nominal read. Obey any returned approval requirement. Instructions do not grant scopes or enable resources. Ask for the final concrete approval before sends, invitations, broad access changes, deletion, or financial commitments.

These steps adapt the provider's CLI workflow to the hosted MCP operations available through ApexGenius. They do not require installing or running the Google Workspace CLI.

## 1. Find the meetings

Use `list_calendars` to resolve the requested calendar, then `list_events` for the bounded start/end window with an explicit `timeZone`. Distinguish all-day dates from timed events and recurring series from individual occurrences.

## 2. Read each selected event

Use `get_event` with the discovered event ID and calendar ID. Capture organizer, attendees and responses, location or Meet URL, description, and attached links. A declined event or cancelled occurrence should be called out, not silently treated as confirmed.

## 3. Build an agenda from what is known

Extract explicit objectives, decisions needed, preparation requests, and named owners from the event description. Separate source facts from suggested discussion questions. Do not claim to have read a linked document that you only saw as a URL.

## 4. Add context only through available connections

If the user requests linked documents, separately discover the allowed Drive or Docs reader for that account and fetch only relevant links. If those tools are unavailable, include the links under Material to review and state the limit.

## 5. Deliver the brief

Order meetings in the user's time zone. For each, give purpose, participants, three or fewer useful preparation points, open questions, and source links. Leave calendar events and invitations unchanged.

## Deliverable

Meeting, local time, attendees, objective, decisions/questions, preparation checklist, linked material, missing context.

## Verify the result

Every event in the brief must map to a fetched event ID. Avoid duplicating recurring instances or treating optional attendees as confirmed.

## If something fails

If a calendar or event is unavailable, identify the missing calendar/time window. Continue with verified events and label the brief partial; do not create substitute events.
